Welcome to HybridNeuro Hub. This Privacy Policy explains how HybridNeuro Hub collects, uses, stores and protects the personal data of our members, in accordance with the 13th and 14th article of the European General Data Protection Regulation (GDPR). By joining our hub and using our services, member agrees to the collection and use of information in accordance with this policy. Please read this policy carefully to understand our policies and practices regarding the collection of information, whether via our HybridNeuro Hub platform (websites and marketplace) or from other sources and how HybridNeuro Hub will treat it. If member does not agree with our policies and practices, member may choose not to use our services.
Information HybridNeuro Hub Collects
HybridNeuro Hub collects personal data through forms prefilled out by member and through other interactions, such as event participation and networking activities. The information collected includes:
- Name
- Surname
- Job Title/ Role
- Email Address
- Country
- Company name and address
- LinkedIn Profile link
Additionally, member may voluntarily provide contact details (such as email addresses) when posting initiatives in hub marketplace.
Legal Basis for Processing
HybridNeuro Hub processes personal data based on the following legal grounds:
- Consent provided by member when joining the hub and using our services granted by checking the box to accept HybridNeuro Hub Privacy Policy with Social Media Privacy Policy (in continuation) before submitting their request;
- Contractual necessity for facilitating hub-related activities;
- Legitimate interest in maintaining a secure and functional platform.
How HybridNeuro Hub Uses Its Information
HybridNeuro Hub uses the information collected to:
- Present hub services and contents;
- Manage member accounts;
- Facilitate networking opportunities;
- Enable participation in events, HybridNeuro Hub webinars and other hub activities;
- Allow member to post and engage with initiatives in the marketplace;
- Provide access to open-source repositories of publications and open-source repositories of datasets;
- Communicate updates, news and relevant opportunities;
- Promote activities and initiatives on social media platforms, where member may be tagged to showcase their work.
Sharing of Information
- Personal data shared in the marketplace (e.g. contact details) will be publicly visible to other members.
- HybridNeuro Hub does not sell or rent personal data to third parties.
- Personal data may be shared with selected service providers (e.g. third parties) for operational purposes (e.g. email distribution) under strict confidentiality agreements. These third parties are limited by law or contract from using the personal data for purposes beyond those for which the personal data is shared. We take all reasonable measures to ensure that your personal data is treated securely and with an adequate level of protection when shared with such selected third parties. We may share your personal data with the categories of third parties as specified:
- Resource Partners, such as third-party business, legal, financial, and marketing experts;
- Cloud services provider, to provide cloud services to us;
- Web hosting services provider, to host our website; and
- Event management services provider, to manage reservations and information regarding our events.
- For the purpose of providing member with certain opportunities, such as investments, loans and business opportunities, we may share your personal data with the following relevant third-parties within such field: (i) investors and business angels and (ii) companies, foundations, and organizations.
- Police, tax agencies or other authorities if we are required by law.
- HybridNeuro Hub may feature member and their initiatives on our social media platforms. However, HybridNeuro Hub is not responsible for any data processing practices or policies of social media platforms operated by third parties (see Social Media Policy).
- HybridNeuro Hub may share the links to aggregated, anonymized data for research and analysis that is stored in the open-source repositories such as Zenodo and is publicly accessible also outside the HybridNeuro Hub. HybridNeuro Hub takes no responsibility for any property of these data, including credibility, accuracy, truthfulness and representativeness. Neither is HybridNeuro Hub responsible for any ethical, legal or moral aspect of the data published in the open-source repositories and referenced in our services, including the HybridNeuro Hub web pages. HybridNeuro Hub reserves the right to monitor and remove such links from our services at any time and without providing any reason or explanation to the member that provided or promoted the link on our services.

Data Retention Policy
HybridNeuro Hub retains personal data only for as long as necessary to fulfil the purposes outlined in this policy. Once data is no longer required, it will be securely deleted or anonymized. Every five years, HybridNeuro Hub will perform a check and any non-active members will be securely removed.
Children’s Privacy
HybridNeuro Hub is not intended for individuals under the age of +18 years. HybridNeuro Hub does not knowingly collect personal data from minors. If HybridNeuro Hub discovers such data has been collected, HybridNeuro Hub will take steps to delete it.
Data Storage and Security
HybridNeuro Hub seeks to use reasonable organizational, technical and administrative measures to protect personal data information within our organization against unauthorized access, alteration, disclosure, or destruction. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. Member Responsibilities
Members are responsible for ensuring that the information they provide is accurate and up to date. Any misuse of the platform, including sharing false information, may result in account suspension.
Data Subject Rights
Member has the following rights regarding their personal data:
- Right of Access: Member can request access to their personal data and obtain information about how it is processed. The request must be made in writing including a member verification and sent to the address below.
- Right to Rectification: Member can request correction of inaccurate or incomplete personal data. If you believe that your personal data stored by us is incorrect, please notify us and provide us with the correct data.
- Right to Erasure (Right to be Forgotten): Member can request deletion of their personal data. However, certain legal obligations prevent us from immediately deleting all of your data, such as obligations in accounting laws, tax laws and anti-money laundering laws. Data that must be preserved for legal reasons will be blocked from use for any other purposes than meeting such legal requirements.
- Right to Restrict Processing: Member can request the limitation of their personal data processing under specific conditions. The request must be made in writing including a member verification and sent to the address below.
- Right to Data Portability: Member can request their personal data in a structured, commonly used, and machine-readable format and have the right to transmit that data to another controller. The request must be made in writing including a member verification and sent to the address below.
- Right to Object: Member can object to the processing of their personal data, including for direct marketing purposes. The effect may be that they are no longer able to use the hub’s services. If member objects, we will stop the processing of their personal data. The request must be made in writing including a member verification and sent to the address below.
- Right to Withdraw Consent: member can withdraw their consent at any time without affecting the lawfulness of processing based on consent before its withdrawal. The request must be made in writing including a member verification and sent to the address below.
- Right to Lodge a Complaint: If a member believes their data protection rights have been violated, they have the right to lodge a complaint with a supervisory authority.

Dispute Resolution
If member has any concerns regarding our data processing practices, member may contact us at: hnh.feri@um.si. HybridNeuro Hub will work to resolve any issues amicably. If necessary, member may escalate disputes to the relevant data protection authorities.
Third-Party Links and Content
HybridNeuro Hub will contain links to third-party websites, publications and research data published in public open-source repositories. HybridNeuro Hub is not responsible for the privacy, ethical and legal practices of these external sources and encourages members to review their policies. All ethical, legal and moral aspects of the publications and data stored in the public repositories are the sole responsibility of their original authors.
Cross-Border Transfers
Services are controlled and operated by HybridNeuro Hub from Slovenia, in accordance with chapter 5 (articles 44 – 50) of the GDPR. By using the HybridNeuro Hub services member consent to the transfer of information to countries outside of their country of residence, if HybridNeuro Hub needs such third-country contractors to fulfil HybridNeuro Hub contractual duties. This third country may have different data protection rules than those of member’s country of residence.
Social Media Privacy Policy
HybridNeuro Hub will promote activities and initiatives on social media platforms and tag members to showcase their work. Please be aware:
- By participating in our hub and its activities, member consent to the use of their name and relevant details in such promotions.
- HybridNeuro Hub is not responsible for the data processing practices or policies of third-party social media platforms. HybridNeuro Hub encourages member to review their privacy policies to understand how they handle their personal data.

Data Controller and Data Processors
HybridNeuro Hub acts as the Data Controller for the personal data collected through our platform. As the Data Controller, HybridNeuro Hub determines the purposes and means of processing member’s personal data.
HybridNeuro Hub might engage third-party service providers to perform certain processing activities on our behalf. Each Data Processor will be contractually obligated to process personal data in compliance with applicable data protection laws and solely according to our instructions.
